Improvements to Parishioner Envelope Management

Yesterday we released an upgrade to the parishioner envelope allocation facility.  You can now do the following:

  1. Allocate multiple envelopes to one parishioner in the same year: 

  2. This has been requested by some of you regarding allowing more than one envelope per parishioner at any point in time.  You will be pleased to know that we have listened and have updated this. 

    To add an additional envelope:

    Simply enter the new envelope number into the usual place and choose a start date and press "Add Envelope".  This system will do it's usual checks to ensure no duplication and then allocate the additional envelope to the parishioner.  You can add any number of envelope numbers to a single parishioner.

  3. "Add" and "Close" envelopes at anytime during the year:

    Another feature that was requested recently. You can now add or close an envelope anytime during the year rather than only once per year. You can of course still open and close envelopes once per year but the facility is there if parishes need to do this.


    We obviously make sure that checks are in place to ensure the same envelope is not allocated at the same time to different parishioner or that you try closing an envelope before the last allocated donation.

  5. Close an envelope:

  6. If there is an open envelope against a parishioner you wish to close then you can do so and choose a date of closure.

    To close an envelope:

    On the list of all envelopes on the left hand side of the allocation screen there is a “Close” link against any open envelopes. Click on the link and enter the date of closure, click on the green tick box to accept.

     

  7. Correct a closed envelope:

  8. If you realise that you have "closed" an envelope by mistake then you have the chance to re-open or edit the closure date. However, this is only available immediately after you have closed the envelope. Thus, if you move to a different page the changes will be saved.
